Moving from Paper to Digital - Pure Invoices Docs
A simple guide for pros transitioning from paper receipt books to Pure Invoices.
If you’ve spent years using carbon-copy receipt books or handwritten invoices, moving to a digital system can feel like a big leap. Don’t worry—Pure Invoices is designed to feel familiar, just much faster.
1. Keep Your Invoice Numbers Running
You don’t have to start over at #1. If your last paper receipt was #842, you can start your digital invoices at #843.
- How to do it: Go to Settings and look for “Invoice Sequence”. Enter the next number you want to use.
- Pro Tip: Some pros like to start at a higher number (like #1001) to give their business a more established look.
2. Using “Prefixes” for Organization
On paper, you might have different books for different years. In Pure Invoices, you can use a Prefix.
- Example: You can set your prefix to
2026-so your invoices look like2026-1001. - This makes it incredibly easy to search and filter your records during tax season.
3. No More Lost Paperwork
The biggest advantage of moving away from paper is that you’ll never “lose” an invoice again.
- Every invoice you create is backed up in the cloud.
- You can search for a client’s name and instantly see every job you’ve ever done for them.
4. How to Handle “Cash” Payments
Even though you’re using digital invoices, you can still accept cash on-site!
- After the client hands you the cash, simply open the invoice in Pure Invoices and click “Mark as Paid”.
- You can then text them the “Secure Link” which will now show a big PAID stamp. It acts as their digital receipt.
5. Better for Your Clients
Most clients today actually prefer digital records. They can’t lose a “Secure Link” in their junk drawer, and they have a professional PDF they can save for their own records or taxes.
